ABOUT THE POSITION

Administrative Officer!
Job Summary:
The Accounting Officer is responsible for maintaining accurate financial records, supporting day-to-day accounting operations, and ensuring compliance with financial policies and regulations. In a multimedia company, the role also supports project-based accounting, vendor payments, and cost tracking for productions, campaigns, and creative projects.
Key Responsibilities:
Accounting & Finance Operations:
- Maintain and update accounting records, journals, and ledgers
- Process accounts payable and accounts receivable
- Prepare payment vouchers, invoices, and receipts
- Reconcile bank statements and cash accounts
Project & Production Accounting:
- Track expenses for multimedia projects, productions, and campaigns
- Monitor project budgets and flag cost variances
- Allocate costs to specific productions or clients
- Support financial reporting for ongoing and completed projects
Payroll & Expenses:
- Payroll processing and statutory deductions
- Review staff expense claims and production-related reimbursements
- Ensure timely payment to freelancers, vendors, and contractors
Reporting & Compliance:
- Assist in preparing monthly, quarterly, and annual financial reports
- Support audits and provide required financial documentation
- Ensure compliance with tax laws, company policies, and financial regulations
- Maintain proper filing of financial documents and contracts
Administrative & Support Duties:
- Coordinate with production, creative, and operations teams on financial matters
- Assist with budgeting and forecasting activities
- Perform other accounting or finance-related duties as assigned

Qualifications and Skills:

Bachelor’s Degree in Accountancy, Accounting Technology, Finance, Business Administration, or related field.

Short courses or certifications in Bookkeeping, Accounting, or Finance are a plus.
- At least 1 year of hands-on bookkeeping experience.
- Fresh Graduates might be considered.

Experience in accounts receivable (AR), accounts payable (AP), and collections.
- Experience in creative agencies, service-oriented companies, or small businesses is an advantage.
- Technical Skills
- Strong bookkeeping knowledge with the ability to maintain accurate ledgers, journals, and financial records.
- Familiarity with BIR computations and tax filing requirements (VAT, Percentage Tax, Withholding Tax).
- Proficient in Microsoft Excel / Google Sheets and familiar with accounting software (e.g., QuickBooks, Xero, SAP).
- Knowledge of invoicing, billing, collections, and payment processing.
- Ability to analyze financial reports, identify trends, and provide recommendations to minimize expenses for projects, operations, and other company-related activities.

- Strong analytical skills to review, reconcile, and verify financial reports.
- Responsible and trustworthy with confidential financial information.
- Good communication skills for coordinating with clients, suppliers, internal departments, and external accountants.

- Proactive in creating processes and policies to improve efficiency, ensure timely compliance, and inform employees of accounting deadlines, cut-offs, and important financial dates.
